Wedding photographer gallery expired? What to do now

The link stopped working. Maybe a year passed, maybe two, and the page that used to open six hundred photographs now shows a message about the gallery no longer being available. Most couples find this out on the evening they finally sat down to make the album.

The news is usually better than the message suggests. Here is what has actually happened, what is normally still recoverable, exactly what to write to the photographer, and the one habit that stops it happening to the photographs your guests took as well.

Wedding photographer gallery expired: what it actually means

A gallery is a web page the photographer pays to keep online. The hosting services photographers use charge by storage, so almost all of them set an expiry on client galleries, commonly somewhere between three months and a year after delivery. When the date passes, the page goes dark. That is what you are looking at.

What it does not mean is that the photographs are gone. The gallery was a delivery mechanism, not the archive. The photographer has the files, on a drive, in a backup, or both, and most keep the final edited set for at least a year or two beyond the gallery, often much longer. The page expiring is the normal, expected end of a delivery window. It is not a deletion.

There are two cases where it is worse. A photographer who has closed the business, or one whose contract said the files would be kept for a fixed period that has also passed. Both are uncommon. Both are why the second half of this article exists.

What to write, and when

Write today, not after you have finished feeling bad about it. Every month that passes makes recovery a little less certain and the photographer a little less likely to still have the drive to hand.

Keep it to four lines. Your names and the wedding date, so they can find you in their records. A sentence saying the gallery link has expired and you would like to download the full set. A question: is the gallery still available, or can the files be sent another way. And a thank you, because you are asking a favour of somebody who delivered on time and whose part of the job was finished long ago.

Do not open with an apology paragraph and do not explain why you did not download it. They have had this email before and they will have it again. Most will reopen the gallery for a week or send a transfer link within a few days, and some will ask for a small fee for the time, which is fair.

If the photographer does not reply

Give it two weeks and write once more, then try a different channel: the studio's social media, the phone number on the old invoice, or the venue coordinator, who often knows how to reach every photographer who has worked there. If the business has closed, the photographer usually still exists, and a polite message on a personal account works more often than couples expect.

While you wait, gather what you already have. The preview images they sent in the first week are usually full size. Anything you downloaded to post is at least a usable copy. Relatives who saved photographs from the gallery to their own phones have them at full quality, because most galleries download the original. Ask around before you assume the set is lost, and check the guest gallery, which brings us to the part that is in your control.

The other set, and the same mistake

Your wedding produced two sets of photographs. The professional one, which is what this article has been about, and the one your guests took, which is larger and which nobody culls, grades or hosts for you. The mistake is the same in both cases and so is the fix: one download, at full quality, to somewhere that is yours, within a fortnight of getting the link. Then a copy somewhere else. What to do the day the gallery arrives

Put one thing in the calendar for the weekend after delivery: download everything. Not the favourites, not the ones for Instagram, the whole set, in whatever "original" or "full resolution" option the gallery offers. Do it from a laptop rather than a phone, because phone downloads often fetch a resized copy and a phone is the device most likely to be lost, replaced or wiped.

• Download the full set to a computer, then check the count against what the gallery says it holds.
• Copy the folder to a second place: an external drive, a family member's computer, a cloud account you already pay for.
• Note the expiry date if the gallery shows one, and the photographer's stated retention if the contract does. You will forget both otherwise.
• Do the same for the guest gallery, on the same evening, because the two sets belong in the same folder.

That is an hour, once. It is also the first step of everything else you might do with the photographs, and the reason so few couples ever get to the album is that they never took it.
